The fifth installment in the Focus on Flapps blog series looks at the all-important Time Off feature. A crucial part of Flapps, time off plays a critical role in our time tracking software.

Within the Time Off feature there are four distinct sub-features along with a green + sign that gives another two options.

We will take each sub-feature and explain why it is important to you when you are using Flapps.

First up we will look at the List of Time Off feature. This is a very important feature and contains many important aspects to it. If you are viewing this page as a regular employee you will only be able to see search for your own time off. However, if you have the role of project/line manager you will be able to look up details for the rest of your team.

The List of Time Off section gives you access to an overview of your time off with the Summary of my Time Off dropdown menu. Here you can view a complete breakdown of the current year and also the previous year, including how many days you have left to take off in several different categories.


While in the List of Time off section you can make a request for time off and you can also select a time off import file by clicking on the large green plus sign on the right of the page.

At the bottom of the screen you will also find a chart that displays any and all time off requests that you currently have pending. If you are a project/line manager you can approve or reject requests from this section by using the colored icons located to the right of the chart.

The Time Off and Yearly Overview calendars are fully interactive and allow you to view the current month (time off calendar) or a breakdown of the current year (yearly overview) in terms of all your time off requests. These calendars also come with a helpful color chart that outline what each color represents on the calendars. If you move your cursor over a selected date on the calendar it will show time off information in relation to the highlighted area.

The final part of the Time Off feature is the Time Off Spending Overview. This section allows you to view a comprehensive breakdown of all your time off in the current year. There are several filter options that you can choose from and this will impact on the data that you generate. For example if you select No from the Details dropdown box you will be able to view your time off requests in relation to specific type of time off for the year.


However, if you select yes from the details dropdown menu you will be able to see exactly how many days you took off in each month of the year. You will also see the number of days off you have used and the balance of what you are still able to take according to your company guidelines.

The Time Off feature contains several different sections within it. You can request time off, get a summary of your time off, check interactive calendars and generate a complete time off breakdown of your working year.

This feature is arguably the most important tool open to employees and project managers as it allows them to get quick access to the time off requests and planned absences across the whole company. Used correctly it will ensure that there is no chance of a large number of employees taking time off at the same time and leaving the company shorthanded.
