Core HR

One employee and organisation record for time, attendance and absence

Core HR holds the employee records, organisation structure, legal entities, cost centres and work calendars that every time and absence rule depends on. In most deployments this data is synchronised from your HR system through XP-Hub. Where no HR system is in place, it is maintained directly in XperienceHR.

Overview

The data every time and absence rule is evaluated against

Each working-time rule, absence entitlement and approval in XperienceHR is evaluated against the employee’s record: the legal entity that employs them, their organisational unit and cost centre, their manager, and the work calendar and public holidays that apply. Core HR keeps this context for all countries, legal entities, pay groups and sites in one tenant.

Changes are effective-dated. A site transfer, for example, applies from the transfer date, while earlier days keep the settings that were valid at the time. Approved time and absence then move to the payroll engine, which prepares payroll inputs on your provider’s pay codes.

Employee records

Employee records that time and absence rules can rely on

Records and identifiers

Each employee record carries the identifiers used by your HR system and payroll provider, together with the employee’s status, so every timesheet and absence balance is matched to the same person in each system.

Custom fields

Attributes specific to your organisation, such as a contract type or a local employee grouping, are added as custom fields and agreed with our team during implementation.

Manager relationships

Each employee is linked to a manager. Timesheet and absence approvals follow these relationships and the organisation chart, and approval can be delegated within the system.

Organisation

Organisation chart, legal entities and cost centres

The structure in XperienceHR mirrors how your organisation is set up, from the group down to each team.

Organisation chart

Hierarchical organisational units, arranged by drag and drop. Approvals and managers’ data access follow the chart.

Legal entities

Each legal entity holds its own entity-specific data, while data common to the group is shared across entities. Managers of cross-border teams switch between legal entities in the application, within their role-based access.

Cost centres

Cost centres are maintained centrally and assigned to employees, giving reports and exports a consistent costing reference.

Calendars and countries

Work calendars, public holidays and languages per country

Work calendars

Flexible and fixed work calendars, specific to each country and its labour law. The calendar sets the planned working days and hours against which attendance and absence are measured.

Public holidays

Public-holiday calendars are held per country, so absence requests and day counts take each country’s holidays into account.

Countries and languages

Countries and their languages are maintained in Core HR. Country settings determine which absence types and working-time rules apply to each employee.

Changes and transfers

Moves between sites and legal entities

Employees change sites, teams and employing entities within a group. In XperienceHR a site transfer applies from the transfer date, and a backdated move splits the timesheet so that each site approves only its own days. Employees can also be migrated between legal entities within the tenant, so a move between group companies is handled in the same system.

Periods already delivered to payroll stay frozen. If a later change affects a delivered period, the payroll engine sends the difference as a delta entry, and every change to a time record is logged in the audit trail with user and timestamp.

Data sources

Synchronised from your HR system, or maintained in XperienceHR

With an HR system of record

Where Workday, SAP SuccessFactors or another HRIS holds employee data, XP-Hub synchronises it into XperienceHR: Workday through PECI, SAP SuccessFactors through Employee Central, and other systems through the REST API with OAuth 2.0 or SFTP with SSH keys. The HR system stays the source of truth for people data, and XperienceHR adds time, attendance and absence.

Without an HR system

Where no HRIS is in place, employee and organisation data is maintained directly in XperienceHR, in the same structure. Initial data is loaded with import templates for employees, work calendars and opening absence balances.

Frequently asked questions about Core HR

Where Workday, SAP SuccessFactors or another HR system is in place, it remains the system of record and XP-Hub synchronises employee and organisation data into XperienceHR.
