Partner model for payroll providers and bureaus

Payroll providers and bureaus depend on time data they do not control. XperienceHR is a time and attendance system that sits in front of the provider’s payroll engine and delivers approved units on its pay codes. Three partner models define who configures and supports the client. The provider keeps payroll calculation and the client relationship for payroll.

The data contract between the two systems

One file per payroll run

Approved units are delivered per payroll run, including overtime runs, the main run and off-cycle runs. A separate working-days file supports basic-salary proration.

Reconciliation before delivery

A pre-delivery reconciliation can block delivery when figures do not match. Validation rules act as hard stops or warnings before managers approve.

Frozen periods

Delivered periods are frozen. Later changes are sent as delta entries with audit, so the provider processes only the difference.

Transport and format

XP-Hub delivers by REST API with OAuth, batch file over SFTP or middleware, with schema validation and monitoring. XP-Hub connects any payroll or HR system in both directions, in any format (JSON, SFTP, REST API). API documentation is provided during implementation.

Bringing a payroll client onto XperienceHR

1. Agree the model: referral, reseller / bundled or embedded, per client or for the whole portfolio.

2. Map pay codes: the provider’s pay code catalogue is mapped once and reused for further clients on XperienceHR.

3. Configure the client: countries, legal entities, calendars and overtime logic are configured and effective-dated.

4. Reconcile: a first client country runs alongside the existing input process until the outputs match.

Why the provider's position is protected

XperienceHR does not run gross-to-net payroll and does not pay employees. The client’s payroll stays with the provider. The provider earns recurring partner remuneration for each client, receives complete, approved inputs at cut-off, and reuses one pay code mapping across its XperienceHR clients.

Security information for provider clients

XperienceHR is ISO 27001 certified, with SAML single sign-on, role-based access, TLS and AES encryption and a full audit trail. Documentation for client security reviews and a data processing agreement (DPA) are available on request.
