How XperienceHR works with Workday

XperienceHR is a global time and attendance system that works alongside Workday rather than replacing it. Workday stays the system of record for employees, contracts and organisational structure, and sends master data to XperienceHR through PECI files. XperienceHR records attendance for office, field and shop-floor employees, applies country-specific working-time, overtime and premium rules, and delivers approved payroll inputs to the payroll provider that runs gross-to-net in each country. It is deployed most often where a global HCM time module is heavy to configure for shift-based or deskless populations, or where sites need physical time clocks.

Employees request and managers approve absence in Workday. XP-Hub synchronises the approved absence into XperienceHR, where it is combined with recorded attendance, so payroll still receives one complete set of inputs.

What the payroll engine adds

The payroll engine turns attendance into payroll-ready inputs. Pay items are defined per pay group with an output code, unit, day-type applicability, a condition and a value formula, so a new rule or a changed rate is a configuration change rather than a release.

Once a period has been delivered its figures are frozen and later changes are sent as retroactive entries under their own codes, with a full audit of what changed. Results are reconciled before delivery, manual corrections are reported as exceptions, and closed periods cannot be altered.

Rule configuration

Pay items are defined per pay group with an output code, unit, day-type applicability, a condition and a value formula. Rules can be expressed in script rather than fixed logic, so the same input can produce different codes for different populations.

Overtime

Daily and weekly thresholds, with tolerance windows so minor overruns do not create overtime. Separate treatment of working, off, rest and public-holiday days, multiple rate arms, and overtime measured in hours or in day units. Calculation runs automatically or is gated by manager approval.

Shift premiums

Bands are resolved from the shift actually worked rather than the roster alone, with eligibility driven by site, grade, employee group and work pattern. A manager can correct the result, and the system’s own answer is recorded alongside the decision. Consistency is checked before export.

Does XperienceHR replace Workday Time Tracking?

No. XperienceHR is deployed alongside Workday, usually in the countries or populations where the Workday time module is heavy to configure, for example shift-based manufacturing, logistics, facility services or staffing sites that need physical time clocks. Workday remains the system of record for people data.

What is Workday PECI and how do you use it?

PECI, the Payroll Effective Change Interface, is Workday’s standard outbound interface for effective-dated worker changes. XperienceHR consumes PECI files through XP-Hub to keep employees, contracts and organisational data in step, so hires, leavers and transfers do not have to be maintained twice.

Can employees still request absence in Workday?

Yes. Absence requests and approvals can stay entirely in Workday, and XP-Hub synchronises the approved absence into XperienceHR, where it is combined with recorded attendance before payroll inputs are produced. Alternatively, requests and approvals can run in XperienceHR.

How does the data reach our payroll providers?

XperienceHR maps approved hours, overtime, shift premiums and absence to the pay codes each provider expects and delivers them by API or scheduled file transfer, in that provider’s format and on its schedule, whether payroll runs on ADP, SD Worx, CloudPay, a global aggregator or a local in-country bureau.

Which other HR systems do you support?

XP-Hub connects XperienceHR to any HRIS by API or scheduled file exchange, including SAP SuccessFactors, Oracle HCM, Personio and in-house systems. Workday additionally uses its standard PECI interface.

How long does a Workday integration take?

Implementation starts at 8 weeks, depending on the number of countries, the local rules to configure and the payroll interfaces required. Most customers run one pilot country in parallel with payroll before rolling out the remaining countries on the same template.
